Facility Executive – Duties and Responsibilities:

 

Candidates having Soft Service background withs experience in Facility.

Good written and verbal communication skills.

Ability to provide efficient, timely, reliable, and courteous service to customers.

To ensure proper usage of PPE s.

Handle Clients’ complaints about service or equipment and work out the Customer Complaint System

To do housekeeping audits on weekly basis & give guidelines to the house keeping supervisors.

To review the monthly consumables, tools and equipment’s for housekeeping and maintain the inventory.

To measure the effectiveness of housekeeping and agency staff & conduct training of the Vendor Staff

Monitor the garbage yard and waste segregation with periodic disposal adherence.

To ensure cleanliness and hygiene of all the common area, office area, meeting rooms, operations floor, washrooms and utility rooms (by LL Team).

To ensure safe chemicals, below threshold value, are used and MSDS followed

Ensures the proper maintenance of all equipment makes arrangements for repair and/or replacement of used and damaged equipment

Daily supervision of the housekeeping staff, including the day, event and post-event and supervision.

Provide training to all staff including technical and housekeeping regarding all company related standards and policy.

Ensure daily checklist and logbooks should be maintained including technical and housekeeping departments.

Provide 24 / 7 emergency response support and respond to these situations as per define SOP’s.

Follow up of all the pending works, resolve and update on daily basis.

Job Purpose

Manage MIS entirely

Key responsibilities:

Creation of PRs request received from team, ensure there is F&I and procurement approvals are in Place, Create PRs share the PR details to team, Follow Up with PR approval hierarchy for getting the PRs approved (Internal team, Biz finance & Procurement),

Co-ordination with Vendors for submission of invoices on monthly basis and ensure invoices are submitted on time at VHD, Co-ordination with vendors for any Concerns related to invoice, DC, SR, WR. Ontime support been rendered to vendors regarding invoice status and Payments updates

Processing invoices pertaining to Rent, CAM Utility, Supplies, Services, on time invoices. Ensure Validation has been done all invoices, creation of Goods receipt and assigning invoices in for further approvals, follow up with approval hierarchy for approving invoices on time.

Coordination with VHD Team and finance team for vendors payments and ensure payments are being paid as per payment terms agreed.

Ensure payments reconciliation is done for vendors and collecting NDC from the vendors.

Maintaining Invoice tracker, Payment tracker, Vendors master tracker

Share Accruals to Biz Finance team on Monthly Basis

Preparation and updation of Monthly AOP sheet and provide Spend every Month

 

Qualifications and Work Experience:

Graduate with atleast 2-4 years of experience

Excellent with MIS reporting

Combination of Technical & Soft Services for the facility

Preparation of maintenance concepts, improvement proposals as well as substance evaluations for the related maintenance

Processing of engineering tasks according to the instructions of the Head PM, and/or Senior object supervisor from Landlord side.

Supervision of all part of facilities like technical and server room, meeting areas, conference areas etc.

Independent process planning for the maintenance actions – with the help of the PPM schedule

Processing of all the task that need to be executed in the object area, under consideration of the external and internal specifications and regulations, and utilizing the experiences and findings that were made in the field-related maintenance and the technical operation management

Evaluation of the systems and their respective adjustment to the special requirements, and continuous optimization.
